The type of personal information we collect.

We currently collect and process the following information:

  • Personal identifiers, contacts and characteristics. These will include the first and last name of any customer or person making an enquiry to our company, a contact telephone number, email address and the full address and postcode of that person.
  • Loyalty scheme customers may if they wish, provide a username and password on our website using our SSL Certificate
  • Employee details will include personal identifiers, contacts and characteristics. These will include the full name of any employee, a contact telephone number, email address and the full address and postcode of that person. We collect next of kin and referencing information limited to name, banking details, copy of insurances and security vetting documents, address and a contact phone number and email address.

Social media – providing insight.

Reports can include example comments or screenshots of posts that provide insight on sentiment and opinion. These posts will fall within the definition of personal data in the GDPR but are publicly available to view on the social media platform. The posts can be included in a social media report post-GDPR as a link to the location on the social media platform.

If for any reason, we take a screenshot of the post or comment, it will be anonymised. The advertiser cannot use the personal data in the post to send direct marketing to the platform user unless the platform user has already agreed to receive direct marketing from the advertiser.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • Enquiry or request for a quote for supply of our services.
  • To proceed with a booking for supply of our services.
  • To opt in for our loyalty scheme.
  • This information may be supplied to us through our website contact forms, phone call, email or messenger services on social media platforms.

We use the information that you have given us in order to create your customer record and booking (the contractual agreement).

We share this information with no other parties.

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

(b) We have a contractual obligation.

(d) We have a vital interest.

(e) We need it to perform a public task.

(f) We have a legitimate interest.

How we store your personal information

Your information is securely stored electronically on our Customer Records Management Database. We also store some customer information in our email system. Data is backed up instantly to a separate, isolated location and all backups are encrypted using 256-bit SSL/TLS encryption. At rest, your data is protected using 256-bit AES encryption.

No records or documents containing customer data are kept on paper or any other format.

We keep your name, address, telephone number and email address for five years. We will then dispose your information by deletion of your data from our database and servers.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access

You have the right to ask us for copies of your personal information.

  • Your right to rectification

You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure

You have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing

You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing

You have the right to object to the processing of your personal information in certain circumstances.

  • Your right to data portability

You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
